Renewal reminders for visas, vehicles and official documents

Official renewals carry the biggest penalties and get the fewest reminders. This guide covers what needs renewing, how much notice each one needs, and how to set reminders you will actually act on.

In short

  • Visas, residence permits, passports, MOTs and vehicle tax cost far more to miss than a subscription, yet nobody has a commercial reason to remind you about them.
  • Base each reminder on how long the renewal takes, not on the expiry date: months for a visa or passport, a few weeks for an MOT or insurance.
  • In England, Scotland and Wales you can get an MOT up to a month (minus a day) before it runs out and keep the same renewal date.
  • Write the document number, the official website and what you need to renew into the reminder itself, so you can act the moment it arrives.

Why are official renewals so easy to miss?

Official renewals are easy to miss because they come round rarely, often every one to ten years, and no company profits from reminding you. A streaming service emails you every month; a residence permit may not contact you at all.

The stakes run the other way. Forget to cancel a subscription and you lose a few pounds. Let a visa, a driving licence or an MOT lapse and you can face fines, cancelled travel or, in the case of immigration permission, a problem with your right to stay somewhere. Some authorities send a letter weeks in advance. Others send nothing, or send it to an address you left two years ago.

That is why these dates need a system rather than your memory. The rest of this guide shows what to track, how early to start, and what to record so the reminder is useful when it arrives.

What needs renewing on a vehicle in the UK?

In the UK the recurring vehicle deadlines are the MOT, vehicle tax, insurance and, for the driver, the photocard driving licence. Unlike many US states and some other countries, there is no yearly registration renewal: the logbook itself does not expire.

RenewalHow oftenWorth knowing
MOT (England, Scotland, Wales)First by the third anniversary of registration, then every yearYou can test up to a month (minus a day) early and keep the same date. No valid MOT can mean a fine of up to £1,000.
Vehicle tax12 months, 6 months, or Direct Debit (monthly, six-monthly or yearly)DVLA sends a V11 reminder letter. Tax does not transfer when a car is sold. You need valid insurance and, where required, an MOT to tax it.
Car insuranceUsually yearlyYour insurer cannot quote you more at renewal than a new customer would pay for the same cover through the same channel, but other insurers may still be cheaper.
Photocard driving licenceEvery 10 years; every 3 years from age 70You can be fined up to £1,000 if you do not renew.

GOV.UK offers free MOT reminders by text or email, and they are worth setting up alongside your own list. For a month by month view of all of these, see the UK car renewal calendar.

Outside the UK, check your own licensing authority's website for how often registration, inspection and licence renewals fall due, and record the date printed on your current documents rather than relying on a rule of thumb.

How early should you start a visa or residence permit renewal?

Start a visa or residence permit renewal months before it expires, not weeks. The exact rules depend on the country, but most expect you to apply before your current permission ends, and gathering documents usually takes longer than the application itself.

Whatever country you live in, a renewal often depends on other things being in order first:

  • A valid passport. If your passport expires before or around the same time as your permit, you may need to renew it first.
  • Supporting documents. Employment letters, bank statements, proof of address, tenancy agreements or insurance can each take time to request.
  • Appointments. Biometrics or interview slots can book up, especially at busy times of year.
  • Fees. Knowing the amount in advance avoids a scramble at the end.

Always check the current process on the official government immigration website for the country that issued your permission, because processing times and requirements change.

If you hold UK immigration permission, most people now have an eVisa rather than a physical card. GOV.UK asks you to update your UK Visas and Immigration (UKVI) account when your details change, including when you get a new passport, so that your status is linked to the document you travel with. Put that on your list as a follow-up task whenever you renew your passport.

When should you renew your passport?

Renew your passport well before you plan to travel, and check how much validity your destination requires, because some countries will not let you in if your passport is close to expiry. An adult UK passport is valid for 10 years.

The expiry date is not the only date that matters. Some countries require a minimum amount of validity left on the day you arrive, so a passport with several months remaining can still be refused. GOV.UK foreign travel advice lists the entry requirements for each destination. If you hold another nationality, your own passport office will publish its renewal rules and timescales.

A practical approach is to track two dates: the expiry date itself, and an earlier "renew by" date that leaves room for the longest validity rule of anywhere you are likely to go, plus processing time.

How much notice does each renewal need?

Give each renewal a reminder lead time that matches how long it takes to sort out: longest for immigration and passports, shortest for things you can do online in minutes. The lead times below are suggestions, not official guidance.

RenewalSuggested first reminderWhy
Visa or residence permit3 to 6 months before expiryDocuments, appointments and processing time
Passport3 months before you need it, or before any validity cut-offProcessing time and destination entry rules
Photocard driving licence2 months before expiryTime to get a photo and wait for the new card
Car or home insurance3 to 4 weeks before renewalTime to compare quotes before it rolls over
MOT4 to 5 weeks before expiryYou can test up to a month (minus a day) early and keep your date
Vehicle tax2 weeks before expiryQuick online, but needs valid insurance and MOT

One reminder is rarely enough. A first nudge to start, and a second closer to the deadline, catches the weeks when you are busy or away.

What should you record for each renewal?

Record the expiry date, how often it repeats, and everything you will need to act on the reminder straight away. A reminder that only says "passport" sends you hunting through old emails.

  • The exact expiry date, copied from the document.
  • How often it recurs (yearly, every 10 years, one-off).
  • The official website or office that handles it.
  • Any reference numbers you will be asked for, stored only where you are comfortable keeping them.
  • Documents or photos you need to prepare.
  • The fee, if known, and when you last renewed.
  • Follow-up tasks, such as updating a UKVI account after a new passport.

Keep all of it in one place alongside your other renewals. If official documents sit in one app and bills in another, you are back to relying on memory. The UK household renewals checklist is a good prompt for everything else to add.

What is the simplest way to set up reminders?

The simplest reliable setup is one list of every renewal with a date, a repeat cycle and a reminder that fires early enough to act. A calendar can do this if you add two alerts per item and keep notes in the event; Google Calendar vs a dedicated renewal tracker covers where that works and where it gets awkward.

Renewal Tracker, our desktop app for Windows and Mac, treats a visa, an MOT and a streaming subscription as the same kind of item: a name, a date, how often it repeats (including one-time), a category and notes. Each item has its own reminder lead time, 7 days by default and adjustable, so a visa can warn you months ahead while vehicle tax warns you a fortnight before. You get a desktop notification while the app is open or in the tray, and a daily summary email at 8am your time even when your computer is off. It is free to download.

Whichever tool you use, spend ten minutes now copying the dates from your passport, permit, licence and car documents. That single session removes most of the risk.

Questions people ask

How early can I renew my MOT without losing my renewal date?

In England, Scotland and Wales you can get an MOT up to a month (minus a day) before your current certificate runs out and keep the same renewal date for next year. Testing earlier than that is allowed, but your renewal date will move to a year from the new test date.

Do you have to renew vehicle registration every year in the UK?

No. The UK has no yearly registration renewal, and the V5C logbook does not expire. The recurring deadlines are vehicle tax, the MOT once a car is three years old, insurance, and your photocard driving licence, which needs renewing every 10 years, or every 3 years from age 70.

How far in advance should I renew a residence permit?

Start preparing three to six months before it expires, and check the official immigration website for the country that issued it. Most countries expect you to apply before your current permission ends, and documents, appointments and processing can take longer than you expect, especially if your passport also needs renewing.

Do I need to update my UK eVisa when I get a new passport?

Yes. GOV.UK asks you to update your UK Visas and Immigration account when your details change, including when you get a new passport, so your eVisa is linked to the document you travel with. Add it as a follow-up task whenever you renew your passport.
